What to expect when you work with an automation partner
Thinking about getting help with automation but not sure what the process looks like? Here's exactly what happens, from first conversation to go-live.
If you've never worked with an automation consultancy before, the process might feel unclear. What do we actually need from you? How long does it take? What does "done" look like?
Here's exactly what the journey looks like, so there are no surprises.
The first conversation (15 minutes)
This is informal. We want to understand what your business does, what's eating your time, and whether automation is the right fit. No commitment, no hard sell. Sometimes the honest answer is "you don't need us" — and we'll tell you that.
The discovery session (30-45 minutes)
If the first call confirms there's an opportunity, we book a deeper conversation. This is where we map out your current processes: how work flows through your business, where the bottlenecks are, what tools you already use, and what "better" would look like for you.
You don't need to prepare anything formal. Just be ready to walk us through a typical day or week.
The proposal
Within a few days of the discovery session, we put together a clear proposal. It covers:
- What we'd automate and why
- How it integrates with your existing tools
- Expected time savings
- What it costs
- Timeline to delivery
No jargon, no 40-page document. A short, clear deck you can read in 10 minutes and make a decision on.
The build
Once we agree on scope, we build. This typically takes 1-3 weeks depending on complexity. You don't need to manage the project — we keep you updated and come to you when we need a decision or access to something.
We build around your existing tools. If you use a specific booking system, CRM, or accounting package, we plug into it rather than replacing it.
Go-live
When the automation is ready, we deploy it and walk your team through how it works. Not a training course — just a clear explanation of what's changed, what they'll notice, and who to contact if something looks wrong.
Most automations run invisibly in the background. Your team notices the time they get back, not the tool doing the work.
Ongoing support
We don't build it and disappear. Monthly check-ins, proactive monitoring, and adjustments as your business evolves. If you hire more staff, add a new service, or change a process, we adapt the automation to match.
What we need from you
Honestly, not much:
- 30-45 minutes for the discovery conversation
- Access to the systems we need to integrate with (login credentials, API keys)
- A point of contact for questions during the build
- 10 minutes to review things before go-live
That's it. The whole point is that we do the heavy lifting so you don't have to.
